• Teams – Voicemail Setup

Now that you have your Teams number, this is how to set up your voicemail and what notifications for voicemails will look like.

  • In the Teams app, click the “Calls” tab. A dial pad should be present and your phone number listed under it. (if you don’t see “Calls”, click the three dots. If the number pad is not visible in the Calls tab, click another area such as “Chats” then go back to “Calls”). You are now able to make a receive calls from your Teams app as if it were a telephone set.

  • To set up your voicemail, select the three dots next to your profile icon and select “Settings”.

 

 

  • Go to the “Calls” section and click “Configure voicemail”

  • From here you can either record a greeting or create a Text-to-speech customized greeting.

  • Your voicemail is now configured.

Alerts and messages

What you can expect to see when you receive a voicemail message.

  • In the Teams, when you receive a voicemail, you will receive an “Activity” notification badge, a voicemail indicator in the activity feed, and a voicemail indictor on the “Calls” Icon.

  • As well as all of the alert indicators in Teams when you have voicemail, you will receive an email in Outlook that will include the audio file of your voicemail, a transcription of the message, and caller information. The emails will look similar to these:

  • External call from outside the organization:

  • To listen to the message, you can double click the “audio.mp3” file and a media player will begin play. To listen on Teams, go to Calls, click on voicemail call in “History” and see Details at the right of the screen.

  • IMPORTANT! Here is an example of a SPAM email that IS NOT from TEAMS. DO NOT click on the Outlook attachment. If you are unsure if it is spam or not, verify the activity notifications in TEAMS first.

 

  • To learn about more great features of Teams Calls, be sure to go to the Help menu at the bottom left of the Teams app, click “Training” and search for “Calls” and “Voicemail’.

 

  • NOTE: Because your office phone number is no longer tied to a location, please DO NOT use Teams to call 911. Use your mobile phone in an emergency.
