1. Open email of the constituent / prospect that you would like the unplanned step added to the prospect plan record.
  2. Under Blackbaud CRM (Outlook Integration features icons) > select File Report > File Unplanned Contact Report
  3. The constituent record of the email recipient who is listed in the "To" field, will get displayed
  4. Select matching constituent that you would like this unplanned step added into the Plan record > The existing active plan/s of this constituent will be displayed
  5. Select the appropriate fiscal year plan that this unplanned step need to be added to


Fill in the information as following:

Objective: The email subject line will be added to this field. Make the necessary updates to make the summary/Objected meaningful
Owner: Your name will be listed in this field
Actual date: The email send date/receive date will be pre populated. Update only if different
Stage: Select the appropriate plan step stage, i.e. Identification/Research, Qualification, Cultivation & etc.
Contact Method: Add in the appropriate contact method, i.e. phone, email, face to face & etc.
Category: Select > Contact report
Subcategory: Select as appropriate
Comments: The message from the body of the email will be prepopulated here. Add additional updates or remove info as you see necessary
Additional solicitors: If other DC Fundraisers were involved, search for their constituent record to add them as additional solicitor in this unplanned step
Participants: If other DC staff / non staff were involved, search for their constituent record to add them here. Please note that Participant/s need to be constituent in D-Hub in order to include them here Once completed, click File Report
